Privacy Policy

This Privacy Policy explains how Karsenics, PBC ("Karsenics," "we," "us," or "our") collects, uses, shares, and protects information when you visit karsenics.com (the "Site"). Please read this policy carefully. By using the Site, you agree to the practices described here.

Karsenics is a Delaware Public Benefit Corporation operating in Houston, Texas. We build and operate event operations software for nonprofit and civic organizations.

Note: This policy covers karsenics.com only. If your organization uses a Karsenics-powered event portal to manage exhibitor or parade contingent registrations, a separate data processing agreement governs that activity.

1. Information We Collect

1.1 Information You Provide Directly

When you fill out a contact or inquiry form on our Site, we may collect:

  • Your full name
  • Your email address
  • Your phone number
  • Your organization or company name
  • Any message or description you choose to share

1.2 Information Collected Automatically

When you visit the Site, we automatically receive certain technical data:

  • IP address and general geographic location (city/region level)
  • Browser type and version
  • Device type and operating system
  • Pages visited, time spent, and click paths
  • Referring website or source

This data is collected through cookies and Google Analytics (Property ID: G-7M8FW7R45R). We use it to understand how visitors use the Site and to improve our content and performance.

1.3 Cookies

We use cookies and similar tracking technologies. Cookies are small text files placed on your device. We use:

  • Analytics cookies: set by Google Analytics to help us understand visitor behavior.

2. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries and schedule consultations or demos
  • Send you updates about Karsenics, including product announcements and relevant content (see Section 3 on marketing emails)

  • Comply with legal obligations
  • Protect the security and integrity of our Site

We process your personal data based on the following legal grounds (relevant particularly for GDPR):

  • Legitimate interests: responding to your inquiry, operating and improving our Site
  • Consent: sending marketing emails (see Section 3)
  • Legal obligation: complying with applicable laws

3. Marketing Communications

If you contact us through the Site, we may send you informational and promotional emails about Karsenics, including product updates, event operations resources, and company news. We will only send you marketing communications if you have explicitly opted in by checking the consent box on our contact form. You may withdraw that consent at any time.

Your right to opt out: Every marketing email we send includes an unsubscribe link. You may also opt out at any time by emailing privacy@karsenics.com with "Unsubscribe" in the subject line. We will honor opt-out requests within 10 business days.

We do not send unsolicited spam. We rely on CAN-SPAM Act compliance for U.S. recipients and on legitimate interest (with a clear opt-out) for outreach to contacts in other jurisdictions. GDPR-regulated contacts have additional rights described in Section 7.

4. How We Share Your Information

We do not sell your personal information. We share it only in the limited circumstances below.

4.1 Service Providers

4.2 Legal Requirements

We may disclose your information if required by law, court order, or government authority, or when we believe disclosure is necessary to protect our legal rights, protect your safety or the safety of others, or investigate fraud.

4.3 Business Transfers

If Karsenics is acquired, merges with another entity, or transfers its assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a materially different privacy policy.

5. Data Retention

We retain contact form information for as long as necessary to respond to your inquiry and manage our business relationship. If you are added to our marketing communications list, we retain your information until you unsubscribe or request deletion. Analytics data is retained according to Google Analytics default settings (26 months) unless modified by us.

You may request deletion of your personal data at any time. See Section 7 for how to exercise that right.

6. Data Security

We implement reasonable technical and organizational measures to protect your information from unauthorized access, loss, or disclosure. These include secure hosting on Vercel, encrypted email delivery, and access controls on internal tools.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee absolute security. If you believe your information has been compromised, please contact us immediately at privacy@karsenics.com.

7. Your Privacy Rights

7.1 All Users

Regardless of your location, you may:

  • Request a copy of the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your personal data
  • Opt out of marketing emails at any time

To exercise any of these rights, email privacy@karsenics.com with the subject line "Privacy Request." We will respond within 30 days.

7.2 California Residents (CCPA / CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including:

  • The right to know what personal information we collect, use, disclose, or sell
  • The right to delete your personal information
  • The right to correct inaccurate personal information
  • The right to opt out of the sale or sharing of your personal information
  • The right to non-discrimination for exercising your privacy rights

We do not sell personal information. We do not share personal information with third parties for cross-context behavioral advertising.

To submit a CCPA request, contact privacy@karsenics.com. We will verify your identity before processing the request.

7.3 European and UK Residents (GDPR / UK GDPR)

If you are located in the European Economic Area (EEA) or the United Kingdom, you have rights under the General Data Protection Regulation (GDPR) or UK GDPR, including:

  • Right of access to your personal data
  • Right to rectification of inaccurate data
  • Right to erasure ("right to be forgotten")
  • Right to restriction of processing
  • Right to data portability
  • Right to object to processing based on legitimate interests
  • Right to withdraw consent at any time (where processing is based on consent)

To exercise GDPR rights, email privacy@karsenics.com. You also have the right to lodge a complaint with your local supervisory authority.

Karsenics is a U.S.-based company. By providing your personal data, you consent to its transfer to and processing in the United States, which may have different data protection laws than your country of residence.

8. Children's Privacy

The Site is intended for adults and is not directed at or designed to collect information from children under the age of 13 (or under 16 for EEA/UK residents). We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us at privacy@karsenics.com and we will delete it promptly.

9. Third-Party Links

The Site may contain links to third-party websites or resources. This Privacy Policy does not apply to those sites. We are not responsible for the privacy practices or content of third-party sites. We encourage you to review the privacy policies of any sites you visit.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top. If we make material changes, we will provide notice on the Site or by email to contacts who have opted into communications. Your continued use of the Site after any changes constitutes your acceptance of the updated policy.
